This policy describes how Sarnia Gospel Hall (“we”, “us”) collects, uses, and protects personal information when you use our website and member area. For a shorter summary of categories of data, see our Your Data page.
Who we are
The website is operated for the local assembly. Contact details published elsewhere on the site (address, phone, responsible brethren) apply for questions about this policy.
What we collect
- Account and registration: name, email, and optional directory and household information you submit when registering or updating your profile.
- Member directory: information you choose to show in the printed or online directory (names, contact details, photos where applicable).
- Prayer requests: content you submit for the prayer list, including optional visibility settings.
- Offerings and donor numbers: weekly offering entries and an internal donor number used to prepare year-end donation summaries and meet record-keeping expectations. Donor-to-member linkage is stored in a protected form suitable for finance use.
- Technical data: standard web server logs, cookies needed for login and security, and similar data typical for a modern website.
How we use information
- To operate member logins, the profile dashboard, directory, and prayer list features you request.
- To prepare offering summaries and retained financial records as required for accountability and tax reporting.
- To communicate with members about assembly matters when you have opted in or when contact is necessary for the service provided.
We do not sell your personal information. We do not use it for unrelated third-party marketing.
Legal bases and retention
We process data as necessary to run the assembly’s legitimate activities, with consent where appropriate (for example, directory visibility and email opt-ins). Some records, including aggregated offering history tied to a donor number, may be retained for a number of years to satisfy tax and audit expectations even after you close your member account. When you close your account, we remove or anonymize member-facing profile data while keeping the minimum internal record needed for those purposes.
Sharing
Access to identifiable member data is limited to those who need it for their role (e.g. designated administrators, prayer list coordinators, finance brethren). Hosting providers and standard IT services may process data only as needed to host the site.
Security
We use reasonable measures appropriate to the size and nature of our site (accounts, HTTPS, role-based access). No online system is perfectly secure; please use a strong password and do not share your login.
Your choices
- You may update much of your directory and profile information from your profile dashboard while logged in.
- You may close your member account from the profile dashboard; see the Your Data page for what is removed and what is retained.
- For other requests (corrections, questions), contact the assembly using the published contact information.
Children
Parents or guardians provide household and directory information for minors. If you believe we have collected information in error, please contact us.
Changes
We may update this policy from time to time. Material changes will be reflected on this page with an updated date when we do so.
